Link Design Items to Fund Code

<H2 class=form>Description</H2>
<BLOCKQUOTE>The Link Design Items to Fund Code screen is part of the Project Services subsystem and allows the user to link design items to the fund code that will be used to pay for them. The screen is accessed from the Fund Description screen for the specified fund code when the user clicks the Link Items button. The screen allows the user to choose whether to view all available item quantities (all items where at least part of the total item quantity has not yet been linked to a fund code), all assigned quantities, or all unassigned quantities. The user designates the quantity of the item to be linked to the fund code by entering it in the Selected Quantity column. When the user enters values in this column and clicks the Save button, the system calculates the total cost per item and displays it in the Total Cost column.

Fields

Field Name
State
Description
Project Header
Display Only
The Project Header fields are standard throughout the project-related screens. They provide identifying information, including project number, county, SR, section, district, and administering organization code. The word "Project" provides a link to the Project Information screen, and "Project Team" provides a link to the Project Team screen.
Fund Code
Display Only
The two-digit identifier for the combination of state, private, and federal funds that will pay for the items linked to the fund code on this screen. This field can also be used in conjunction with the adjacent GO button to view the items linked to a different fund code.

The fund code description.
SPN
Display Only
The state project number associated with the fund code.
FPN
Display Only
The federal project number associated with the fund code.
Fed Work Type
Display Only
The federal type of work associated with the fund code.
ALT Display Only The alternate code for the item. This field is only displayed if the alternate is an EITHER item or the AND item(s) associated with the EITHER item. Alternates (OR items and their associated AND items) are not displayed on the Link Design Items screen. Business rules do not allow EITHER items to be split over multiple fund codes.

When funding is changed for the EITHER item, the system automatically applies the new funding to the associated AND items. If the prime contractor bids the alternate item, the funding assigned to the EITHER item is associated with the Alternate bid item when the system creates the Construction Data.

Item Number
Display Only
The item number. When alternate items exist, only the As-Designed (EITHER) and its associated AND items are displayed.

This field provides a hyperlink to the Design Plan Stations list for the specified item. (If no design plan stations exist, the Design Plan Stations screen displays a 'no records found' message.)

Unit of Measure

The unit of measurement.
Unit Price
Display Only
The estimated price per unit of the item.
Total Quantity
Display Only

Selected Quantity
Editable – Optional
This field allows the user to enter the quantity of the item they wish to assign to this fund code.

For EITHER items, the Selected Quantity may only be updated to "0" or to the total item quantity. (In other words, the funding for EITHER items cannot be split across fund codes.) The AND items associated with the as-designed group have this field protected, and the system automatically updates the assigned quantity if the fund code for the EITHER item changes.

Total Cost
Calculated
The total cost of the item for this fund code. This field is calculated when the user clicks the Save button. The calculation multiplies the Selected Quantity by the Unit Price.
